ACTA Board Meeting Minutes – June 6, 2011

The ACTA Board met on Monday, June 6th, 2011 at the Arlington Central Library at 7:30 pm. Attendees were Alex, Jacquie, James, Jonathan, Matt, Richard, Tom, and Trevor. Kim was in attendance as a non-board member.

1. Fall season
The board decided to engage in marketing earlier and more aggressively for the fall season to try and capture the interest of college graduates who will relocate to the area during the summer timeframe. The idea of forming a partnership with the Tennis Factory was presented, whereby new ACTA signees would receive some form of store credit, either fully or partially donated.

2. ACTA Board Organization
Kim was voted onto the ACTA board as Outreach Director.

3. 2010 Finances
The board reviewed a financial overview for 2010 as compiled by Trevor. This included a comparison between a cash-basis review and a profit-loss review. Some numbers related to the charity events were unaccounted for, as they did not use ACTA bank accounts and yielded a net zero sum as independent event. The board voted to approve the final 2010 financial report. The board also agreed that a healthy cash reserve is important so that ACTA can have a buffer should Arlington County raise court fees, or for special events.

4. Facilities
James reported to the ACTA board that Jamestown Park and Bon Air Park courts were currently undergoing renovation, with completion anticipated within the month of June. Arlington County currently has money in their budget to ‘patch and paint’ courts at Maury Park, Bluemont Junction Park, and Quincy Park. James also mentioned that there are discussions for a complete renovation of Towers Park courts sometime next year.

5. Doubles League
Tom reported that the end of the spring doubles league is going smoothly. T-shirt designs will be circulated to the board when they come in. The board agreed that in the future, a new policy will be adopted for rescheduling matches that have been postponed due to weather. Future rules will force teams to schedule and reserve courts themselves.

6. Spring Tournament
Matt reported that the Spring Charity Tournament was a success, with almost 70 participants yielding a total of approximately $2,000. There are plans for a doubles event in July and a singles event in August.
