ACTA Board Meeting Minutes – Feb 15, 2011

The ACTA Board met on Tuesday, February 15th, 2011 at the Arlington Central Library at 7:30 pm.  Attendees were Alex, Jacquie, James, Richard, Tom, Trevor, and Umang.  Jonathan was in attendance as a non-board member.
1. Finance

The board examined ACTA financial statements for 2010 as presented by Trevor.  The profit loss statement, as revised from the previous meeting, revealed a loss of approximately $2,900 for the calendar year.  This amount included costs that were carried over from 2009.  Richard suggested that those items be indicated as such.  The board agreed that ACTA was in a good financial position.

Alex also proposed and discussed the use of accounting software that would automatically link to ACTA bank accounts at Wachovia.  Trevor revealed that this would entail a cost of at least $30 a month and would eliminate the need for manual entry, simplifying work in the long term.

2. Registration

In discussing pricing for the coming year, the board established that maintaining the current membership fee structure would likely allow ACTA to break even.  Court rates may be increased by Arlington county, but any realization of such wouldn’t be put into effect immediately.

Registration will open on website on March 1st and members will have the option of signing up for the entire year.  Also, the waiver will be updated to include a verification that the registrant is at least 19 years old.  It was also agreed that check paying registrants will not be accepted after the start of the season (3 April 2011), and credit card paying registrants will not be accepted after the week before playoffs (12 June 2011).

3. Ladder

The board decided to remove the women’s ladder for the coming year, and adding a doubles ladder.  Umang presented a rule change whereby a player will be bumped down weekly if inactive.  The rule change will be posted on the website.

4. Doubles League

Richard and Alex had made edits to the doubles league rulebook prior to the board meeting.  Tom will review and consolidate before sending out the updated draft for approval, which will be followed by an email voting by board members.  Spring season regular matches will be played at 3:00pm and 4:30pm on Sundays, with the exception of Easter weekend.

5. ACTA Board Organization

Alex was voted in as President.  Richard was voted in as Vice-President.  Jonathan was voted into the board as Secretary.  It was resolved that “Board members cannot miss more than three meetings in a calendar year”.  Should a board member miss more than three meetings, he or she will be ejected with a chance for appeal.
